HRMS is a combination of several systems and processes connected to Human Resource activities of an organization such as storing employee data, managing payrolls, recruitment processes, benefits administration, and keeping track of leave and attendance records, performance appraisals, succession planning, compensation, asset tracking, timesheets, performance management, employee retention and on-boarding/offboarding. Before the advent of the computers, these data were recorded in books and later the computer was used for record-keeping. Both were cumbersome and complexities were faced as the organization grew. Every query took long time to get resolved and paperwork was necessary to authenticate every single process.

In the early 1990s, HRMS ERP vendors such as Oracle and JD Edwards introduced HR ERPs which were designed to cover all HR functionality, including core HR, recruiting, learning, US payroll, and reporting.
A software application reduces the laborious manual workload of HR activities and organizations automate all of these processes by installing specialized human resource management systems. Internal or external IT professionals help is solicited to develop and maintain an all-encompassing integrated HRMS. At the click of a button, every single activity gets recorded and can be extracted at the fraction of a minute. Every employee is given a username and a password and depending on the employee’s hierarchy access and authorization are assigned. HRMS is integrated with other systems within organizations like access control systems with Biometric devices, Finance/Accounts, Project Management System, CRM, Support and other administration systems. These HRMS ensure HR-strategic decision making with an improved set of workflows and validation rules.

The local-machine based software, generally knows as On-site applications require software and hardware setup and its maintenance. This proportionally increases the overall cost to the company. Many organizations with vast human capital install On-site applications because of security and scalability reasons. On the other side, Online or Cloud-based HRMS applications by using SaaS providers, the companies need to pay only for a subscription cost of the application to the HRMS vendors. This is a highly effective way of the utilization of HRMS since it doesn’t require any separate hardware or software setup and have nil maintenance. The complete organization data gets stored in the cloud which can be accessed from any location using any device like mobile, laptop or desktop via a web browser.
